Documenting the New Process

Documenting the new process during the Control Phase of a Six Sigma project is a crucial step for ensuring the sustained success of process improvements. This documentation typically takes the form of a written control plan, which is intended to guide the process owner and the business team in maintaining the improved process.

The control plan serves as a roadmap for the process owner and business team. It helps them to track and respond to key performance indicators (KPIs), ensuring that the process continues to operate efficiently and effectively. The ultimate goal is to maintain the level of improvement achieved during the Six Sigma project.

Characteristics of an Effective Control Plan

  1. Conciseness and Clarity: The control plan should be straightforward and easy to reference. It must clearly outline the monitoring procedures and the acceptable ranges for the data being monitored.

  2. Monitoring Guidelines: It should specify when and how the process should be monitored. This includes identifying the KPIs, the frequency of monitoring, and the methods to be used.

  3. Response Protocols: The plan should outline the steps to be taken if the data fall outside the acceptable range. This includes corrective actions to bring the process back within the desired parameters.

  4. Format Variations: Control plans can be in various formats – from spreadsheets and specialized digital documents to hard-copy documents displayed at workstations. The choice of format depends on what is most practical and accessible for the team managing the process.

Importance of Documentation

Documenting the new process in a control plan is vital for a few reasons:

  • Sustaining Improvements: It helps in sustaining the improvements made during the Six Sigma project by providing a clear guide for ongoing process management.

  • Facilitating Consistency: Consistency in process execution is ensured, as everyone involved has a clear understanding of their roles and responsibilities.

  • Providing a Reference Tool: It serves as a reference tool for current and future team members, helping them understand the process flow and control measures.
