Final Project Review and Reporting

The final project review and reporting in a DMAIC (Define, Measure, Analyze, Improve, Control) Six Sigma project is a critical step that ensures the project's outcomes are properly evaluated, documented, and communicated. This stage involves several key activities:

1. Delivering the Final Product or Process

  • Meeting Initial Needs: The project team delivers a final product or process that meets the needs identified in the Define stage. This outcome should be free of known problems and defects, as much as possible.

  • Management and Control: Teams should provide mechanisms to manage and control the process, utilizing tools like statistical control charts, Lean templates, and policies.

2. Recognition of Team Efforts

  • Acknowledging Contributions: It's important to recognize the extra effort team members have put into the project, especially since this work is often beyond their regular duties.

  • Celebrating Success: Six Sigma leaders should acknowledge team members' contributions in front of stakeholders like project sponsors, champions, or relevant departments.

3. Setting and Documenting Milestones

  • Project Milestones: Ensure that each phase of the DMAIC process has a clear end date, and that all team members agree on these dates. If necessary, present a counter schedule with logical reasons if the original schedule seems implausible.

  • Documentation of Progress: Document milestones for each phase, particularly for the Measure, Analyze, and Improve phases.

4. Reviewing and Prioritizing Solutions

  • Implementation of Solutions: Review, prioritize, and select the top solutions for action. Implement these solutions on a limited basis initially, followed by a thorough analysis of the data from trials to confirm the effectiveness of the solutions.

  • Cost-Benefit Analysis: Perform a cost-benefit analysis and obtain approval from the sponsor, champion, or executive steering committee for full implementation.

5. Training and Documentation

  • Staff Training: Ensure that critical staff members receive training on the new solutions and are prepared to train others.

  • Documenting the Solution: The solution should be fully documented through Standard Operating Procedures (SOPs) and training materials.

6. Transitioning the Process

  • Handover to Process Owner: In the final Control phase, transition the process back to the process owner. This ensures that the process continues to work successfully and is integrated into the regular business operations.

Summary

The final project review and reporting phase in a DMAIC project is a comprehensive process that involves the delivery of the final product, recognition of team efforts, setting and documenting milestones, reviewing solutions, and conducting necessary training. It culminates with the transition of the improved process back to the process owner, ensuring the sustainability and effectiveness of the project outcomes. This phase is crucial for solidifying the gains achieved and for promoting a culture of continuous improvement within the organization.
